QR Code Setup Guide SnipeIT | Create and Print Asset QR Codes

In this video, you’ll learn how to set up QR codes in Snipe-IT for efficient asset tracking.
We demonstrate how to generate QR codes for assets and print them correctly.
QR codes allow IT teams to identify devices quickly using a mobile phone or scanner.
This tutorial is perfect for IT helpdesk and system administrators managing many assets.
You’ll see how QR codes improve check-in and check-out workflows in Snipe-IT.
We also cover best practices for labeling and printing asset QR codes.
This setup helps reduce errors and speeds up daily IT operations.
Follow this step-by-step guide to upgrade your Snipe-IT asset management process.

1. What is the QR Code used for?

1.1. Quickly view device information (when Snipe-IT permission is available)

IT staff or asset managers just need to scan the QR code on the device →
immediately open the asset page containing:
• Device name
• Model
• Serial
• MAC / specs
• Status (Deploy / Ready to Deploy / Maintenance…)
• Who is borrowing
• Check-in / Check-out history
• Maintenance log
• Warranty
• Notes
⮕ Helps inventory quickly and accurately.

1.2. Support Check-out / Quick Check-in

Scan QR code → open the correct asset → click:
• Check-out to deliver the device to the user
• Check-in to collect the device
• Mark as Deployed / Pending / Repair
⮕ No need to manually search in the list.

1.4. Attach asset identification label (Asset Tag)

QR acts as Asset ID
→ stick on laptop, PC, monitor, IP phone, router, switch…
Thanks to that:
• No mixed devices
• No duplicate numbers
• No history lost
• Easy to review audit

1.5. Reduce lost devices

If employees take the device home, take it on a business trip…
Scanning QR code still knows who is holding it, since when, and when it is expected to be returned.

2. How does QR Code Snipe-IT work?

When you print a General Label or Asset Label, Snipe-IT generates a QR code in the form:
https://your-snipeit-domain/assets/1234
Or in the form:
https://your-snipeit.com/hardware/1234
The QR code is just a link pointing to that asset in the Snipe-IT system, it does not contain direct data. To view the link.

3. What will you see when scanning the QR code?

• If you are logged in to Snipe-IT → opens the full device details page (name, serial, model, status, borrower, history…)
• If you are not logged in → displays the login screen, because the device information requires confidentiality.
No one can see the information immediately when scanning the QR code, they must have permission in Snipe-IT to see it.

4. Display fields on QR Code

If you want to display information of QR code, do the following
Admin → Settings → Labels
Enable the fields you want to display under QR:
